AI employees do their best work through text and digital artifacts. They do not need a calendar meeting to research a question, draft a response, build a document, prepare a web page, or update an authorized system.
Choose the asynchronous artifact
Match the customer outcome to the smallest reviewable output:

Use a live call only when human presence, negotiation, identity, or synchronous judgment is essential. The employee can still prepare the agenda and questions, then process the human’s notes afterward.
Define the handoff
Every asynchronous request should contain:
- the customer outcome
- an accountable employee
- a response deadline
- the artifact format
- acceptance criteria
- the human escalation owner
External delivery is a separate state from drafting. Do not label an email “sent” or a page “published” until the provider returns evidence.
Safe verification
Create one draft artifact, attach it to tracked work, and ask a reviewer to accept or request changes without a call. Expected result: the reviewer can understand the decision, sources, and next action from the artifact alone.
Troubleshooting
- Customer context is missing: ask a short written question with a deadline.
- The thread is becoming ambiguous: create a decision document that separates facts, assumptions, and open questions.
- A person must act: create a human-input request for only that action.
- No provider confirmation: keep the work in draft or blocked state.
Transcript
Write the desired customer result and its acceptance evidence. Choose an email, document, image, spreadsheet, web page, or system update that can be reviewed asynchronously. Set a response deadline. Ask a person only for the part that requires human presence or authority. Confirm external delivery with provider evidence.
